Facilities IT Intern

Johns Hopkins Facilities and Real Estate (JHFRE) is seeking a Facilities IT Intern to participate in IT (Information Technology) and EDMS (Enterprise Document Management System) activities in support of Facilities and Real Estate operations at Johns Hopkins campuses. As part of the JHFRE IS (Information Systems) Team, the intern will report to the EDMS Analyst. The primary daily responsibilities focus on assisting colleagues with hardware and software-related requests. This is supplemented by information management related to parcels, buildings, and assets. This position includes both office-based and field-based work, in both physical and virtual settings.


Office-based IT assignments may include deploying new or replacement IT hardware, retrieving and updating inventory, facilitating contact with vendors, and assisting colleagues with setup and usage of software and hardware. Office-based EDMS assignments involve utilizing the enterprise OnBase system, and may include data management, digitizing, post processing, indexing of authoritative documents, and preparing deliverables. Field-based assignments include data collection and validation from facilities, assets, or projects on university property. Data collection and interaction is performed using departmental GPS and mobile devices with enterprise IT software platforms.


Every morning, the intern will conduct in-person or remote check-in calls with the EDMS Analyst to review tasks, issues, and other requirements. The conclusion of work must be communicated and acknowledged daily. The intern will also attend weekly team meetings. This position is in person, with the potential for remote days after successful completion of introductory period, subject to availability of suitable work, up to 40% of total time worked.

Specific Duties & Responsibilities


Essential IT Job Functions

  • Assist colleagues with hardware and software-related requests, including troubleshooting and resolving technical issues.
  • Deploy new or replacement IT hardware, such as computers, printers, and other peripherals.
  • Perform software installations, updates, and configurations.
  • Manage and update IT inventory, ensuring accurate records of all hardware and software assets.
  • Facilitate contact with vendors for hardware and software procurement, repairs, and support.
  • Set up and maintain conference room technology, including audio-visual equipment and video conferencing systems.
  • Provide support for mobile devices, including smartphones and tablets, ensuring they are configured and functioning properly.
  • Assist with network connectivity issues, including Wi-Fi and wired connections.
  • Participate in IT projects and initiatives to improve technology infrastructure and services.


Essential EDMS Job Functions

  • Learn and become proficient in usage of OnBase EDMS.
  • Work on initiatives to enhance the integration of the EDMS and other JHFRE Information Systems.
  • Contribute to the EDMS by digitizing, archiving, and indexing authoritative documents.
  • Participate in collaborative research and development of the usage of Document Management related technology.
  • Perform data collection and management tasks using mobile devices and applications.
  • Produce information products and compile printed or digitally exported document retrievals from the Document Management System.


Minimum Qualifications
  • High School diploma/GED.
  • Must be currently enrolled in a degree-seeking program (Associate’s or Bachelor’s) in fields such as Information Technology, Information Systems Management, or related fields.
  • Work experience in a professional environment including experience obtained through an internship or fellowship program is required. Additional education may substitute for experience.

Knowledge, Skills, Attributes

  • Experience with IT hardware, software, and data management solutions.
  • Knowledge of Microsoft Office Suite, including Excel, Outlook, Word.
  • Ability to produce accurate, timely delivery of complex materials.
  • Organized and able to prioritize and accomplish a wide variety of projects.
  • A willingness to learn and engage with modern technologies, systems, and concepts.
  • Committed to the mission of the University, customer service, and best practices in Information Systems management.


Communication

  • Exchanges routine and non-routine information with staff, faculty, students, and vendors using effective oral and written communication skills.
  • Communicates daily with the EDMS Analyst via Zoom, Teams, and in person.

Physical Requirements

  • Ability to navigate various physical locations to collect data/information using field data collection equipment. (tablet, computer, camera)
  • Ability to work in a stationary position in an office environment for extended periods of time.
  • Ability to lift 50 lbs.

Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
