HR Coordinator

Department: Institute for Genetic Medicine
Work Schedule/Hours: Monday-Friday/8:30-5p/40 hours
Location: East Baltimore 

School of Medicine 



This position helps to coordinate and assist the human resource activities of the Institute of Genetic Medicine (IGM).  The position reports directly to the HR Generalist for the IGM to ensure smooth and efficient functioning for the department as a unit.  


Specific duties & responsibilities:


Payroll Management
Primary point of contact for employees (faculty, staff, student, post-doc fellows) for payroll

  • Advises on payroll policies and procedures
  • Assures that payroll is processed timely and accurately
  • Maintains system to track faculty/staff payroll information and generate reports
  • Implements system to monitor/ resolve payroll issues: control salary, salary distribution/supplements/merit increases/terminate payroll
  • Responsible for the pickup and timely distribution of all payroll checks
  • Assists with monitoring and retrieving overpayments
  • Processes promotions, transfers, reclassifications, salary increases, overtime
  • Process and manage tracking for all SAP Internal Service Requests (ISR)
  • Responsible for the distribution, documentation and processing of 120-day and annual reviews from HR to supervisor


Recruitment and Selection
Assists HR Generalist with the recruiting, new hire and termination process of all faculty, post-docs fellows and staff.

  • Assist with obtaining and posting documentation for new requisition postings
  • Assist hiring managers in the creation of job descriptions
  • Assist when needed to coordinate candidate interviews, complete references, criminal background checks, and salary verifications
  • Coordinate start date check list for new employees – space, computer, orientation packet
  • Process new positions and employee information into SAP system
  • Coordinate placement of temporary staff as needed
  • Coordinate orientation schedule for new staff
  • Maintain staff/faculty directory and ensure organizational charts are continuously updated
  • Maintain and manage personnel files for all new hires and terminated employees
  • Schedule exit interview for terminating employees and coordinate retrieval of badge, keys, computer, questions about final paycheck, etc.
  • Provide backup assistance to the medical training coordinator  in coordination of the credentialing process for divisional fellows and new faculty
  • Provide backup assistance to the medical training coordinator in the visa process for international faculty, fellows and staff


Family and Medical Leave (FML)
Assists HR Generalist in the processing of FML

  • Work with staff member to obtain general information about FML related issue
  • Compile documentation in specified timeframe and provide to staff and records department
  • Track and update FML determinations and changes
  • Insure that all FML related time is tracked in the E210 system
  • Work with HR Generalist on FML problems


Primary point of contact for staff and students for time and attendance

  • Maintain and update E210 time tracking system
  • Work with hourly employees to accurately track their time thru the weekly time sheets

Assist HR Generalist with tracking of staff sick time, vacation, FML, Maryland flexible leave, short-term disability, and long-term disability


Special knowledge, skills, and abilities:  Working knowledge of federal, state and local laws and regulations in human resources; working knowledge of emerging trends and practices in human resources

High School Diploma/GED required, and a minimum of three years of related experience. Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.



Bachelor’s degree in human resources, business management or other related field preferred. SAP experience preferred

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
