HR Coordinator

We are seeking a HR Coordinator who will be responsible for the coordination of all FML, Workers Compensation and Disability; monitoring, editing, and approving time records in KRONOS (approximately 200 hourly employees); and approving weekly OT records for semi-monthly employees; reconciling time and attendance forms; maintaining personnel records; and interacting on a regular basis with department supervisors and staff in Johns Hopkins Facilities & Real Estate (JHFRE).


This position may also be responsible for semi-monthly Temporary/Casual/Limited employee time entry; processing special weekly overtime pay. The position will work with Central Human Resources to coordinate document exchange and verifications.


Specific Duties & Responsibilities

  • Monitor, edit and approve high-volume time records in KRONOS for Bargaining Unit (BU) weekly payroll. Process weekly overtime pay. Processing student payroll.
  • Initiate historical edits in Kronos.
  • Initiate payroll forms for new hires, annual increases, step increases, transfers, and terminations.
  • Responsible for the oversight of E210 time-keeping electronic forms.
  • Maintain detailed knowledge of BU hourly rates, proper application of premiums and other payroll policies and procedures for BU personnel.
  • Process weekly overtime, shift differential, and on-call pay for JHFRE non-exempt staff and BU employees.
  • Enter hours in CATS time system for casual staff.
  • Generate annual increase notification letters for all staff.
  • Generate staffing Analysis reports upon request.
  • Initiate payroll related cost transfers in SAP.
  • Hire students in SAP.
  • Serve as point person in Timesheet X (student payroll).
  • Initiate and maintain accurate records of FMLA paperwork upon request, receive, interpret, and disperse approvals to supervisors with directions on how to apply retroactively to payroll according to BU policy.
  • Receive, disperse, and maintain accurate records for all notifications of STD, LTD and Worker's Comp for JHFRE, Housing, and Mail Services and advise on agreement of coding for Kronos and E210 to maintain compliance with all leave actions FMLA, STD, LTD, WC, LOA, LWOP, in accordance with policy.
  • Track FMLA usage and coordinate expiration process with supervisors, OIE, and Labor Relations.
  • Initiate Employment Actions for all staff that include step increases, transfers, position changes, salary changes, leave with pay, leave without pay, return to work and terminations
  • Monitor overpayments and coordinate collection/repayment process.
  • Serve as JHED administrator and Guest Jcard requestor for contractors across JHFREPrepare personnel requisitions for submission to Central Human Resources recruiters and compensation analysts. May coordinate interview schedules.
  • Monitor and maintain appropriate payroll and personnel documents and files.
  • Provide assistance to managers and employees regarding payroll/personnel related issues including: tax information, sick leave, vacation leave, holidays, leave of absence, family medical leave, payroll, etc.
  • Responsible for coordinating probationary reviews for BU (90 day) and staff (120 day).
  • Responsible for authorizing final time records, calculates vacation payout. Answers questions relating to final paycheck, etc. for employees who resign or transfer.
  • Gather sensitive information for management regarding grievances, disciplinary actions and other personnel matters.
  • Develop and maintain electronic records to track payroll information and generate ad-hoc reports.
  • Supports employee engagement initiatives.
  • May also perform the following Finance related duties,
    •     Prepare and issue purchase orders, blanket orders, emergency orders.
    •     Process vendor invoices and enter goods receipts.
    •     Understand and communicate purchase order policy and ensure bids are submitted correctly and sole source justifications are complete and thorough.
    •     Prepare online payment requests for approval.


Special Knowledge, Skills & Abilities

  • Proficiency in the use of software applications, databases, spreadsheets, and word processing required (Word, Excel, Outlook).
  • Must be detail oriented and accurate.
  • Must be highly organized and work well under pressure.
  • Must have strong written and verbal communication skills.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years of related experience required.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience working in KRONOS.
  • Knowledge of SAP.
  • Prior experience working with payroll.


Decision Making

  • Carries out duties and responsibilities with supervision. Establishes work priorities relative to level of importance.


Authority

  • Does not direct the activities of staff or a function.


Organizational Structure

  • Incumbent reports directly to HR Manager.


Physical Requirements

  • Must be able to remain stationary for extended periods of time.
  • Ability to operate a computer on a frequent basis.
  • Ability to frequently communicate with others and exchange accurate information.

Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
