Mechanical Shop Supervisor (Facilities & Real Estate)

We are seeking, Heating, Ventilation, and Air Conditioning (HVAC) Mechanical Shop Supervisor (HVS) plans, assigns routine and preventative maintenance tasks, supervises 2 Assistant Supervisors (Plumbing and HVAC), inspects the work of 25 technicians, Maintenance Mechanics and Plumbers, who are responsible for the maintenance and repair utilizing the CMMS system. The supervisor is responsible for the mechanical equipment installed in all buildings on the Homewood Campus. The Campus is comprised of approximately 50 buildings, totaling nearly 4,000,000 gross square feet of space. Each building has an independent HVAC and building automation system designed to create and sustain the building’s indoor environmental conditions, which are vital for successfully executing the University’s core mission of education and research.


The Mechanical Shop Supervisor’s primary duties and responsibilities are carried out with considerable independence within the framework of established policies, procedures, and guidelines. The Supervisor is responsible for formulating and developing unit goals and objectives and providing technical assistance and training to assigned staff based on 10 years or more of service trade knowledge in the HVAC and plumbing fields. The Supervisor’s work and results are evaluated and reviewed through metrics provided by CMMS (Maximo) data to determine the success and efficiency for the department. Inspection and analysis of records, as well as daily logs reports, completed work orders, and equipment and system preventative maintenance and performance. This position reports to the Director of Operations and Maintenance.


Specific Duties & Responsibilities

  • Ensures budgeting guidelines are met; prioritizes shop expenditures to stay within budget and assists win preparation of capital and operations budgets.
  • Reviews, schedules, coordinates, and supervises the installation and maintenance of HVAC components and systems typically found on a large University Campus.
  • Develops, maintains, improves, and analyzes through the use of CMMS metrics, the preventative maintenance program for plumbing systems, aur conditioning, refrigeration and heating equipment; works closely with other maintenance and trades personnel to determine and coordinate repair and modification needs; ensures the timely completion; prepares and maintains records, correspondence and reports.
  • Applies basic principles and practices of employee supervision and participates in the training and development of employees.
  • Ability to work efficiently with building automation systems and train HVAC personnel on its usage.
  • Anticipates, recommends and procures supplies and materials needed for daily operations.
  • Demonstrates through CMMS metric analysis continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service.
  • Responsible for the hiring, evaluation, and promotion and if needed, the termination of employees.
  • Evaluates and trains subordinate personnel; reviews and maintains employee labor records; inspects work in progress and upon completion.
  • Reviews plans for future buildings and inspects new buildings to ensure compatibility with existing HVAC codes and maintenance standards.
  • Prepares labor and material estimates.
  • Maintains employee time records, including vacation and sick time reports. Utilizes the University’s time keeping systems to accurately complete time and attendance reporting for subordinates.
  • Prepares and maintains a variety of records and reports, including employee accident reports.
  • Adheres to rules set forth in the bargaining unit contract.

  • Researches new operational methods, techniques and equipment and recommends their application where appropriate.
  • Assists with the preparation of specifications for the purchase of HVAC equipment, devices and supplies.
  • Manages moderately complex HVAC and plumbing installations and repairs performed by outside contractors.
  • Assists in capital planning process to forecast long term HVAC system upgrades and/or replacements.
  • Produces written documents when necessary, and uses personal computers to develop reports and/or spreadsheets.
  • Interprets university and department policies to assigned personnel and enforces safety regulations and adherence to proper codes and standards.
  • Troubleshoots technical problems within HVAC and control systems, and determines necessary repairs; uses contemporary diagnostic equipment and hand tools to accomplish this.
  • Be proactive in identifying problems early before they become significant problems requiring greater resources for resolution.
  • Assists with maintaining campus steam and chilled water metering systems.
  • Maintains a safe work environment for direct reports.
  • Must be able to work overtime and respond to emergency calls 24/7.
  • Complete other duties as assigned by supervisor.

  • Carries out duties and responsibilities with minimal to no supervision.
  • Makes decisions and establishes work priorities for subordinate staff.
  • Clearly maintains open communication with the Shop Manager and works collaboratively in the decision-making process.


Authority

  • Manages and monitors the performance of subordinate staff, including participation in the hiring process and disciplinary actions.


Communication

  • Must be computer literate and able to read and interpret plans, specifications, and technical manuals. Excellent written and oral communication skills.


Physical Requirements

  • The Supervisor must have the ability to use their hands and arms to reach, feel, and operate tools and equipment.
  • The Supervisor must be able to stand, sit, and walk for considerable periods of time; be able to independently lift, push, or pull 50 lbs.; able to work indoor/outdoor in extremely hot and cold conditions; and able to work around moving and/or loud equipment.


Minimum Qualifications
  • The Supervisor must be familiar with the principles and practices of employee supervision, including selection, training, work evaluation, and discipline.
  • They must have the ability to plan, coordinate, estimate, and safely execute the maintenance and repair of HVAC systems and equipment common to a large University.
  • The Supervisor must have the ability to read and interpret drawings, specifications, and manuals; have knowledge of applicable HVAC codes and standards; able to exercise independent judgment and initiative within established guidelines; and establish and maintain effective working relationships with students, staff, and faculty.
  • The Supervisor must be able to produce written documents with clearly organized thoughts using proper grammar and punctuation and must be computer literate.
  • The Supervisor must be able to work overtime and respond to emergency calls (24/7).

Education

  • High School Diploma or GED required.
  • Formal training and/or education above the high school level in the HVAC
  • field is highly desirable and preferred.
  • Master Level HVAC, Journeyman Plumbing and/or Steamfitter license required.
  • Universal CFC certification required.
  • Prior knowledge and usage of CMMS systems.

Experience, Licenses, Certificates

  • Ten years’ experience in the field of HVAC engineering, maintenance and repair, including 5 years of supervisory experience.
  • Valid driver’s license required.
  • Experience with the operation of Building Automation and/or Energy
  • Management systems, including both pneumatic and direct digital control systems.
  • Experience supervising in a union environment is preferred.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.
