General Summary:

The Johns Hopkins University Counseling Center (CC) provides services to students in full-time graduate and undergraduate academic programs in the Schools of Arts and Sciences and Engineering, as well as the Peabody Institute of Music.

The Clinical Case Manager coordinates and implements a variety of CC case management functions, including referral services to community providers, facilitation of student understanding and utilization of the student health insurance plan, post-hospitalization communication and arrangements for referrals, and the CC’s role in the university’s medical leave of absence process. The person in this position will frequently interact with undergraduate and graduate students, CC personnel, university personnel and community mental health providers.  This position reports to the Director of the Counseling Center.

Essential Job Functions:

  • Serves as the Center’s Referral Coordinator: oversees the Center’s referral management system which includes the coordination and maintenance of a directory of community resources available to students; establishes/maintains an electronic referral data base system; develops programs to recruit off-campus therapists to serve clients referred off campus; collaborates with CC Case Managers at other colleges.
  • Meets with CC clients in need of referral to assist them in locating and arranging for mental health referrals; researches insurance information relevant to the referral process on behalf of clients;  follows up on referred students as needed to ensure continuity of service and to evaluate the quality of care provided.
  • Collaborates with clinical staff in designing individual action plans for distressed students among resource units and agencies as appropriate; provides training as appropriate to new staff members and interns in procedures and policies related to developing referral action plans. Provides outreach programming to the University Community regarding the case manager’s role in the CC including how to direct students to the CC (e.g., including campus security, Student Health).
  • Coordinates post-hospitalization communication, treatment planning and referral among the hospital, the Dean of Student Life Office, the CC and the student.
  • Monitors and manages follow-up for Patient Health Questionnaire (PHQ-9) referrals from Student Health and Wellness.
  • Maintains case management notes in a timely and complete manner; completes all related paperwork as required by Center.
  • Serves as CC medical leave coordinator; oversees the CC’s role in the mental health withdrawal and readmission paperwork process (MLOA); collaborates with Graduate Board, Dean of Students Office, Post-Baccalaureate department to insure that MLOA forms and letters are up to date; maintains MLOA database for Center; helps develop policy and procedures regarding MLOAs.
  • Assists clients in troubleshooting psychotropic medication refills.
  • Attends clinical case management meetings to facilitate the staff referral process.
  • Serves as a representative of the CC on the University Insurance Committee; processes insurance referral paperwork/releases for student health insurance plan; works with students regarding insurance problems.
  • Performs other duties as assigned by the CC Director.

Education and Licensure:

  • Master’s degree in Social Work, Clinical Psychology or Counseling required. 
  • Must be licensed in the state of Maryland within one year of start date.


  • Three years’ experience in the field of clinical psychology, counseling, or social work. 
  • Prior experience providing referrals for mental health services. 
  • Experience interacting with mental health providers and insurance companies. 
  • Experience working in an interdisciplinary work setting.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
