On-Site Coordinator

General Summary/Purpose:

An On Site Coordinator will work with Family Academic Programs, handling logistics for day-of programming at sites around the country. This person will serve as the CTY representative for our programs at various locations-museums, colleges, school campuses, etc. In addition to representing CTY, some troubleshooting may be needed as well.



  • Represent CTY at various one or two day events for Family Academic Programs around the country.
  • Responding to basic inquiries the day of the program or event; troubleshooting issues that may arise, collecting evaluation forms, and positively representing CTY and Johns Hopkins University at the programs.
  • Greet families as they arrive on site for programs.
  • Facilitate relationship between vendor and families should any problems occur throughout the day. Interfacing with host institution representatives including catering, security, a/v support, and technical staff; managing problems and emergencies that may arise.
  • Performing a variety of other duties to include assisting by ushering participants into appropriate locations as sessions begin, and keeping the program running on schedule.

Minimum Requirements:

  • High School Diploma/GED required. Additional education may substitute for required experience to the extent permitted by the JHU equivalency formula.
  • Three years of administrative/academic related experience required.


Preferred Requirements:

  • Some College preferred.
  • Experience in customer service/academic events coordination is preferred.
  • Higher Education or Education background.
  • Prior experience working with families with children grades 2-12 is preferred.


Required Special Skills and Knowledge:

  • Must be accessible via cell phone during programs.
  • Must have reliable transportation to travel to and from events at a variety of locations.
  • Proficiency in Microsoft Office Suite, specifically Word and Excel preferred. Excellent organizational skills.  


Physical Requirements for the Job:

  • Ability to sit in a normal seated position for extended periods of time.
  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
  • Ability to lift 20 pounds of program materials, transporting program materials to site, standing for extended period of time with or without ADA accommodations.
  • The incumbent will be required to communicate regularly via telephone and face to face with internal and external customers and must be able to exchange accurate and timely information in these settings.
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.


Supervisory Responsibility:

  • This position has no supervisory responsibilities.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
