Payroll Specialist

The School of Nursing Human Resources support team is seeking a Payroll Specialist.  This role will work in conjunction with the Sr. HR Coordinator and the HR Manager, to ensure compliance with university policies and procedure and exercise independent judgment in the resolution of payroll issues. This role regularly interprets and communicates policies and procedures and serves as the primary point of payroll support on a school-wide basis, with additional direction provided by the Sr. HR Coordinator, HR Manager and/or Health Sciences UHR team. 

 

In addition, this position oversees the SON’s payroll records and database management and provides direct support to Faculty, post doc fellows, students, visiting scholars and staff, as requested by the HR Manager.  The Payroll Specialist is responsible for performing duties of a sensitive and confidential nature.

 

Specific Duties & Responsibilities:

  • Serves as primary point of contact for employees (faculty, staff, students, post-doc fellows) for all payroll-related matters, including new hire documentation and weekly timesheets for hourly employees.
  • Processes multiple payroll actions (ISR’s) on a daily/weekly basis, including but not limited to: new hires, terminations, salary changes, position changes, reassignments, return from temp inactive status, and bonus supplements.
  • Processes CATS (Time Entry) for hourly students and staff on a weekly basis.
  • Coordinates student hiring and student termination processes.  Initiates hire and payroll processing for students.  Responds to inquiries from students as necessary.
  • Processes Full-time, Part-time, and Limited faculty contracts, including hiring, return from temp inactive, and bonus supplements.
  • Processes ALT contracts.
  • Maintains Personnel records and appropriate payroll related documents electronically
  • Advises on payroll policies and procedures and works to address all matters in a timely, efficient and accurate manner.
  • Assures that payroll is processed timely and accurately.
  • Maintains a system to track faculty and staff payroll information and generate reports to members of school leadership, as requested.
  • Implements systems to monitor and resolve payroll issues, including: control salary, salary distribution, supplements, merit increases and termination.
  • Coordinates actions with HR Shared Services and Payroll Shared Services when the need arises
  • Works with Sr. HR Coordinator, HR Manager, and SON managers to evaluate details related to promotions, transfers, reclassifications, salary increases and overtime and then process related transactions in a timely basis.
  • Coordinates logistical details related to SAP Internal Service Requests (ISR) and serves as primary processor of those transactions.
  • Coordinates with Student Financial Services and University Experiential Learning regarding hiring and time tracking.
  • Assists Sr. HR Coordinator and HR Manager with new hire and termination process of all faculty, post-docs fellows and staff.
  • Serves as point of contact for faculty and staff annual merit adjustments.
  • Identify and resolve staff/faculty salary overpayment issues (track overpayments, locate errors and causes, prepare overpayment reconciliation and letters and coordinator collection and repayment plan)
  • Processes new positions and employee information into SAP system
  • Digitalizes personnel files as needed.
  • Composes, edits, types, and distributes various form letters and correspondence as necessary.
  • Creates proactive templates and guides for supervisors.
  • Performs all related duties, as requested.
  • Misc. Duties as needed

 

Minimum Qualifications (Mandatory):

  • High School Diploma or GED
  • Three (3) years related experience.

 

Special Knowledge, Skills & Abilities:

  • Ability to maintain a high level of confidentiality and discretion.
  • Must be able to prioritize and quickly respond to multiple daily time-sensitive requests and process with accuracy
  • Excellent oral and written communication skills, and organizational skills
  • Working knowledge of federal, state and local laws and regulations in human resources
  • Ability to work collaboratively with others both within and outside human resources
  • Ability to work in complex, fast paced environment with multiple tasks, short deadlines, and pressure.
  • Problem solving and decision-making skills
  • Ability to work independently and effectively with all levels of employees
  • Experience providing excellent customer service
  • Ability to respond effectively to sensitive inquiries and complaints.
  • Ability to calculate figures and amounts.
  • To perform this job successfully, an individual should have basic computer skills.
  • Internet and email software (Outlook); Spreadsheet software (Excel) and Word Processing (Word). Experience with CATS, helpful
  • Highly organized, able to manage multiple and competing priorities

 

Technical Qualifications/Specialized Certifications:

  • SAP experience preferred and experience processing high volume payroll deadlines

 

 JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis.

Role/Level/Range: ATO 37.5/03/OF 
Starting Salary Range: $20.02- $27.51/hr (commensurate with experience)
Employee group: Full Time 
Schedule: Monday - Friday hours 8:30 - 5:00

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
