Program Coordinator


General summary/purpose:

Looking for a team player who will utilize their knowledge, creativity, and program management skills to assist the Program Director in implementing year-round training and mentoring programs for students from underrepresented minority (URM) and deaf or hard-of-hearing (D/HH) backgrounds. The individual should possess effective interpersonal-, communication- and organizational- and cultural competency skills.

Specific Duties & Responsibilities:

  • Work with the Program Directors, mentors, and staff to refine and improve the program design.
  • Research specific resources to be utilized in the project such as educational materials, equipment, expert speakers, conference rooms, etc.
  • Collect and evaluate program participant applications.
  • Coordinate review of applications with the program team and schedule applicant interviews.
  • Communicate and work with program participants to meet their individual needs.
  • Improve marketing and advertising to potential program partners across different universities.
  • Coordinate participant housing and flight accommodations.
  • Serve as liaison between research mentors and program participants.
  • Oversee program phone line and program email account.
  • Submit invoices for payment to vendors and travel reimbursements.
  • Responsible for administrative tasks such as scheduling, online payment requests, updating of the website and implementation of specific social media.
  • Oversee independent vendors who help support the program.
  • Coordinate monthly team meetings.
  • Attend meetings with committees interested in collaborating with program.
  • Assist in tracking progress reports of each program participant.

Minimum Qualifications:

  • High school diploma/GED.
  • Five (5) years of progressively responsible related experience. 
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Bachelor’s degree.
  • Demonstrated proficiency with MS Office (Word, Excel, PowerPoint), business use of social media platforms (Facebook, Twitter, LinkedIn), content management platforms (WordPress, or others), and Adobe Creative Cloud and Photoshop is a plus. 

Special Knowledge, Skills, and Abilities:

  • Working knowledge of Microsoft Word, Excel, Powerpoint.
  • Must possess willingness to learn and implement new findings and technologies.
  • Experience with audio/video equipment setup.

Technical Qualifications or Specialized Certifications:

  • Website design, audio/video setup.

Any specific physical requirements for the job:

  • Regular lifting, catering setup/cleanup.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
