Program Specialist

General Summary/Purpose

The Program Specialist will contribute to managing day-to-day programmatic elements of projects focusing on international family planning, reproductive health, and population dynamics for the Gates Institute.  For information about the Gates Institute, please visit www.gatesinstitute.org.



Specific Duties & Responsibilities

The main project focus for the next 1.5 years will be the 2021 International Conference on Family Planning, February 1-4, 2021 in Thailand, including several pre-conference events taking place in the days leading up to the conference.  This job will require travel to the conference in 2021. There may be additional events to which we may need this staff member to travel in order to assist. 


The Program Specialist is responsible for backstopping multiple programmatic activities of the Gates Institute.  They will work closely with the Program and Communication Officers on a wide range of programmatic tasks.  Attention to detail is key and event planning skills are essential.  They will provide short-term technical assistance and project coordination, draft project work plans, and prepare technical briefs, as well as communications expertise by writing first drafts of project reports, managing conference and general GI emails, communicating with conference attendees, sponsors and faculty, assisting with social media efforts, maintaining various Institute websites and photo galleries, creating newsletters and other documents needed to conduct project work.


This position provides input on materials, strategies, work plans and budgets as needed and may undertake various kinds of research, including literature reviews, web searches and the creation of presentations.  



Minimum Qualifications

Bachelor’s degree required.

  • Two (2) years related experience required.
    Additional relevant experience and/or training may substitute for some education.


Preferred Qualifications

A Master's Degree in public health, international development, or a similar discipline

  • Experience working in events, academic, research, and/or advocacy environments – especially in the realm of public health or family planning
  • Ability to utilize design software including: Canva, Adobe Creative and Production Suites
  • Digital media skills, including experience using: Slack, Hoot Suite, Twitter, Facebook, Instagram, HTML, Wordpress, Drupal, Mail Chimp
  • Language skills in French and/or Thai


Special Knowledge, Skills, and Abilities

Superb communication (oral and writing) skills, including digital and social media experience

  • Exceptional tact and sensitivity to a wide range of internationally diverse cultural environments
  • Experience with all Microsoft Office and file organization and sharing programs – Word, Excel, Power Point, Outlook, Dropbox, Google Drive, etc.
  • Ability to carry up to 50 lbs. within the context of this job.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
