Research Program Coordinator

The Department of Medicine is seeking a Research Program Coordinator who will be primarily responsible for supporting the logistics of enrolling and tracking older adults participating in a clinical study of influenza vaccination efficacy. This position will require working directly with older human subjects, physician investigators, and require skills related to the development of research instruments (questionnaires, surveys, and data forms) necessary for study execution as well as testing and implementation of research protocols, obtaining informed consent, collecting and recording data, monitoring clinical course of patients enrolled in clinical studies/trials, and ensuring that research protocols are executed appropriately.  


This includes implementation of research protocols by recruiting and consenting study eligible patients into studies, adhering to the IRB approved study designs and activities, and following study specific timelines. Laboratory duties, including some sample processing and routine laboratory assays will also be assigned per unit needs. Phlebotomy experience or willing to be trained in phlebotomy preferred.


Specific Duties & Responsibilities:

The RPC will recruit and enroll eligible participants into clinical protocols, maintain good working knowledge of all assigned protocols and reporting requirements, with a primary focus to support the clinical study of influenza vaccination efficacy among older adults.


This individual will:

  • Adhere to all protocol requirements to ensure the validity of the clinical research data
  • Assist principal investigator, program manager, and lead study coordination in defining information and plans required to accomplish goals of influenza vaccine study
  • Assist in the design and creation of protocol specific case report forms as needed
  • Enter patient demographic and clinical data into institutional database systems as required, and responds in a timely manner to special projects or queries related to the data.
  • Organize recruitment venues in outpatient clinics, assisted living facilities, senior centers, and then recruit subjects into the clinical protocol.
  • Perform home visits as necessary, and perform phlebotomy as part of this protocol.
  • The RPC will be involved in the administration of study procedures for clinical and home visits; handling all related procedures (i.e.) participant recruitment, enrollment, scheduling, data forms, and mailings; phone interviewer schedules; explaining study procedures to prospective participants and speaking with participants from previous studies, contact potential subjects either by letter or phone, conducting baseline and follow-up interviews and questionnaires; working with the database manager on proper entry of collected data; performing related project tasks and support as necessary.
  • Lab duties may include specimen collection and delivery to labs; sample processing and assays; use of sample storage systems and related databases


Efficiency, organization, and time management skills are essential to the position. This individual must be able to use all standard personal computer work station programs, including Microsoft Word and Excel and Access. In addition, this individual must be able to submit investigator approved communications regarding multiple research studies with Hopkins IRB office through web-based program. Individual must be able to utilize standard telephone equipment and communicate clearly in English with potential subjects so that they understand research protocols that they may volunteer for.


In addition, this individual should have a personal automobile in case subjects are not able to come to the research campus and therefore must be visited at home by the clinical coordinator. Individual must also be able to work with biological samples, process them in the laboratory, and/or deliver them to the appropriate laboratories as part of these studies.


Mandatory Qualifications (Mandatory):

  • Bachelor's Degree in related discipline required.
  • Some related experience required.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.*


JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Phlebotomy skills, some laboratory based experience, ability to work with human subject samples, proficiency in the use of software applications (i.e. MS Access, Excel and statistical software programs), databases, spreadsheets, and word processing required.
  • Excellent organizational skills required.
  • Excellent attention to detail skills required.
  • Must have ability to manage multiple and competing priorities.
  • Must have excellent time management skills; oral and written communication skills and be able to work independently.
  • Preferred to have an automobile and driver’s license to be able to drive to complete home visits as needed by the study team.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
