Senior HR Coordinator

We are seeking a Senior HR Coordinator  who will provide HR and administrative support to the Johns Hopkins University Center for Talented Youth (CTY) including: recruitment functions such as requisitioning, and pre-employment processing. This position will have a specific focus on supporting the recruitment and onboarding of more than 2,000 casual/as-needed staff annually. This role will also assist in managing administrative and reporting aspects of performance management process for casual and full-time employees, and personnel management.   


Specific Duties & Responsibilities:

Recruitment & Hiring:

  • Manages CTY HR’s role in the hiring, onboarding, and termination of casual staff members through the SAP payroll system.
  • This which includes identifying appropriate stakeholders; planning and hosting meetings to discuss and identify changes in processes and legislation; proactively troubleshooting issues with processes and procedures; making recommendations for changes to the appropriate stakeholders; and following up with all stakeholders throughout the process to ensure timely execution of all processes.
  • Manages pre-employment process required for casual employees of CTY to ensure an efficient and smooth process in accordance with all applicable university policies and procedures.
  • In partnership with JHU Talent Acquisition office, tracks and monitors applicant screening process, including background and reference checks utilizing an external database. Consults with Talent Acquisition team, and provides managers with hiring recommendations pertaining to information gathered. Escalates and investigates issues as needed to ensure a rapid onboarding process.
  • Manages the remote I-9 process for all casual and remote hires in partnership with the JHU I-9 Compliance team. Facilitates and advises managers on the visa employment process. Assist in collecting and distributing required documents to JHU central offices for employees with work authorization status. 
  • Assigns, coordinates and tracks work during high volume periods among a team of casual HR Coordinators supporting onboarding functions. Assist in the selection and training of these casual team members and will provide supervision to casual HR Coordinator staff. 
  • Maintains stakeholder visibility and enhances accountability into pre-employment process by maintaining up to date information in an external staffing database, holding regular information meetings with hiring departments, collaborating and sharing information with hiring partners, seeking to learn about and forecast the Center’s seasonal hiring needs and reacting proactively.
  • Collaborates with CTY and JHU Talent Acquisition teams to manage job postings for departments.  Maintains visibility into requisition statuses and proactively identifies barrier to ensure job postings are posted as quickly as possible.
  • Coordinates the hiring process which includes sending “Welcome” emails/letters, notifications to hiring managers/supervisors; Serves as a primary point of contact for the employee to provide guidance on HR and payroll related matters throughout the initial introductory period.
  • Will assist with auditing, distribution and routing of payroll checks for seasonal programs.
  • Assist HR Business Partner and other team members with special projects, as needed.
  • Collaborates with HR Team to plan payroll schedule for summer program employees and distance education employees. When requested, represent CTY HR Office at internal CTY meetings as well as external JHU HR meetings.


Training Coordination:

  • Ensures completion of mandatory training completion for all staff through reporting and employee engagement. Partners with CTY Program Management to ensure compliance for required University training is maintained.


Records, Attendance, Leave Policy Management:

  • Responsible for ensuring SAP Master data integrity for all positions and maintaining personnel records in accordance with department and University policy.
  • Tracks requests and approvals for CTY employees on FMLA, LOA, Worker's Compensation, and Short/Long Term Disability to ensure compliance with JHU policies and federal/state laws. Coordinate personnel records processing associated with these regulations with Payroll Specialist. 
  • Coordinates audits with Payroll Specialist related to leave/absence codes.
  • Assists with monitoring time and attendance forms for staff via e210 system and ensure data accuracy and timely submission and approval.


Customer Service:

  • Assists in managing/responding to HR department’s customer-facing ticketing system (Freshdesk)
  • Responds to employment verification requests and background investigations for former or current CTY employees.
  • Responds to unemployment claims assigned to the Center through Equifax Casebuilder.

Minimum Qualifications (Mandatory):

  • Bachelor's Degree in Human Resources, Business Administration, or other related field.
  • Three years related experience. Additional related experience may be substituted for required education and additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • Demonstrated Human Resources and payroll knowledge.
  • Experience working in a technology driven HR environment.


Preferred Qualifications:

  • PHR or SHRM – CP preferred.
  • Experience working in SAP and SuccessFactors is strongly preferred.
  • Experience working in SurveyMonkey is preferred.
  • Experience working in Smartsheet is preferred.

  • Must have the ability to coordinate multi-faceted types of work.
  • Must have a strong attention to detail and aim for accuracy in every instance
  • Requires a strong customer service-oriented approach and excellent oral and written communication skills to be able to effectively communicate with all levels of department personnel.
  • Ability to multi-task and work collaboratively with others both within and outside Human Resources.
  • Working knowledge of federal, state, and local laws and regulations in human resources.
  • Working knowledge of emerging trends and practices in human resources with a continuous quality improvement focus.
  • On a regular and continuous basis, exercises administrative judgments and assumes responsibility for decisions, consequences, and results having an impact on people, costs and/or quality of service within the functional area.
  • Requires a high level of confidentiality and discretion.


Physical Requirements:

  • Dexterity of hands to operate a computer keyboard, mouse pad and other office machinery.
  • The incumbent will be required to communicate regularly with internal and external customers and must be able to exchange accurate and timely information in these settings.
  • Position also requires a degree of mobility common to working in an office environment; bending, kneeling or standing during events and presentations may be required.


Supervisory Responsibility:

  • Will supervisor casual HR Coordinator staff (approx. 1 – 5 staff).


Additional Information:

  • This position will be a hybrid role and will work onsite Tuesday, Wednesday and Thursday and work from home Monday and Friday

JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
