Sr. Administrative Coordinator

The Center for Communication Programs is seeking a Senior Administrative Coordinator  (Deputy Project Director) who will be responsible for a wide range of administrative duties. The Sr. Administrative Coordinator will be the primary resource for the Strategic Communication (StratCom) and the Research & Evaluation (R&E) Units on University and the Center’s administrative policies and procedures. Essential Duties and Responsibilities include the following. Other duties may be assigned.

 

Specific Duties & Responsibilities:

Administrative Support to the StratCom Unit

  • Assist the StratCom team with administrative related issues.
  • Answer questions and find/share documentation about the University’s and CCP’s administrative policies and procedures.
  • Schedule and document StratCom-wide meetings (All-Staff Unit meetings and Management meetings)
  • Initiate hiring process (draft JDs, obtain approval, post to job sites, schedule interviews).
  • Manage, monitor, update the StratCom Team and Structure matrix.
  • Upload content (videos/presentations/documents) to the Center’s intranet and help StratCom unit staff to upload their content.
  • Format documents and presentations for the management team.
  • Use purchasing card to purchase supplies and other small expenses for the StratCom team.

 

Administrative Support to the R&E Unit

  • Assist the R&E team with administrative related issues.
  • Answer questions and find/share documentation about the University’s and CCP’s administrative policies and procedures.
  • Schedule and document Unit-wide meetings, such as Team meetings, IDEAS Lab and Research in Action (RIA) meetings.
  • Initiate hiring process for both potential staff and students (draft JDs, obtain approval, post to job sites, schedule interviews).
  • Manage, monitor, update Publications database.
  • Upload R&E content to the Center’s intranet including videos/presentations of IDEAS lab and RIA meetings.
  • Format documents and presentations for leadership/management.
  • Use purchasing card to purchase supplies and other small expenses for the R&E staff.

 

Minimum Qualifications (Mandatory):

  • High School Diploma/GED required.
  • Five years progressively responsible administrative/office/program experience, preferably in an NGO or academic environment.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
  • High level organizational skills with attention to details and ability to prioritize multiple responsibilities.
  • Ability to work independently as well as part of a team.

 

Preferred Qualifications:

  • Bachelor’s Degree preferred.
  • Experience working on international projects.

 

Special Knowledge, Skills & Abilities:

  • Advanced computer skills to include MS Office applications, as well as experience with software/platforms such as OneDrive, Dropbox, Adobe Acrobat, CONCUR, Airtable, Zoom.
  • Knowledge of administrative processes and approaches.
  • Ability to develop routines to manage workloads and organize work efficiently.
  • Readiness to interact with a variety of people and assume diverse duties and tasks.
  • Desire to work closely with others as part of a dynamic and dedicated team.

 

JHU Equivalency Formula:  30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Starting Salary Range: $20.02 - $27.51/hr (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
