Sr. Administrative Coordinator

We are seeking a Sr. Administrative Coordinator to provide administrative management for Director, Associate Director, and Administrator of Hospital Medicine at JHBMC, HCGH and Suburban hospitals, the Associate Director, Associate Director, and Administrator of Hospital Medicine at JHBMC, and the Administrator of Hospital Medicine at JHBMC. Will also provide support for other JHM Hospital Medicine leadership and administrative personnel, as well as overall divisional functions.


Specific Duties & Responsibilities

  • Maintain the Director, Associate Director, and Administrator’s professional calendar, coordinating and scheduling all meetings including but not limited to,
  • Divisional meetings including staff meetings, executive council meetings, and ad hoc meetings.
  • Annual faculty reviews performed by the Director, Associate Director, and Administrator.
  • JHM leadership and financial meetings.
  • Professional society commitments.
  • Speaking engagements.
  • Site visits.
  • Assist the Director, Associate Director, and Administrator in daily coordination of activities, including providing reminders, supplying directions, and coordinating needed materials.
  • Arrange all professional travel for Director, Associate Director, and Administrator and coordinate with appropriate financial managers to facilitate timely reimbursement of applicable expenses.
  • Prepare correspondence and documents such as letters of recommendation, reports, HR and faculty appointment paperwork, and other departmentally required documents.
  • Assist Director, Associate Director, and Administrator in the production of academic work and grant writing, including transcribing and proofreading, report and chart creation, document compilation, and assistance in submittal to necessary organization and publications.
  • Answer the direct office line of the Director, Associate Director, and Administrator, screening calls, taking messages, and ensuring communication of all necessary information in a timely fashion.
  • Coordinate with the JHM Hospital Medicine administrative support teams at all sites, synthesizing workflows when applicable, and participating in all cross-locational team interactions and projects to foster efficiency, collaboration and teamwork between sites.
  • Assist in the coordination of annual reviews of the Hospital Medicine groups, including creation and collection of required information, coordinating meeting times and locations, and assisting in securing necessary supplies and other materials.
  • Serve as the front-line representative for the Director, Associate Director, and Administrator by participation in meetings, events, conferences, etc., requiring a high level of communication and organizational skills.
  • Participate in special projects or adopt responsibility for new processes and initiatives as needed.
  • Provide mentorship and training to new or junior JHM administrative team members as needed.
  • Provide back-up general office support including but not limited to answering phones, ordering supplies, submitting service requests, collecting and distributing mail, etc.
  • Provide back-up support for other administrative positions/duties as needed due to absences or vacancies.
  • Other duties as assigned


Special Knowledge, Skills, and abilities

  • Word, Excel and PowerPoint and other standard office software, as well as the ability to operate standard office equipment such as photocopier, fax machine, and scanner.


Minimum Qualifications
  • High School Diploma or graduation equivalent
  • Four years progressively responsible administrative experience
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor’s Degree with a minimum of five years administrative experience with at least two years of executive support experience, preferably in a healthcare setting.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
