Sr. Administrative Coordinator

We are seeking a Sr. Administrative Coordinator who will provide complex administrative, project and patient-related support to the Chairman and Administrative Specialist for the Wilmer Eye Institute. Represents the division by communicating professionally with faculty, administrators, staff, external contacts and patients.


Specific Duties/Responsibilities

  • Provides administrative support to the Director and Administrative Specialist.
  • Manage procurement card charges, SAP financial processes, and budgets.
  • Assists Administrative Specialist with coordination of major departmental events and activities.
  • Independently identifies, recommends and implements process-improvement initiatives for the office with approval from the Administrative Specialist.
  • Orders/maintains office supplies, places service calls on all office equipment, contact facilities for housekeeping & general maintenance.
  • Assist with coordination of bi-monthly All Faculty Meetings, Long Range Planning Committee Meetings, and All Employee Meetings.
  • Coordinate annual faculty evaluations.
  • Transcribe correspondence from the Director.
  • General support to Wilmer's faculty & staff as needed.
  • Maintain conference room reservations via electronic calendar.
  • Maintain file room including material of a confidential nature.
  • Greets VIP patients/visitors.
  • Coordinate meeting arrangements and catering requests as needed.
  • Coordinate patient appointments.
  • Correspond with intradepartmental and interdepartmental JHMI departments and external contacts.


Minimum Qualifications
  • High School Diploma/GED. Five (5) years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


*JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
