Sr. Administrative Coordinator

We are seeking a Sr. Administrative Coordinator who will provide administrative support for the Division of General Internal Medicine and the Section of Palliative Medicine at Johns Hopkins Hospital. This person shall maintain a high degree of confidentiality and professionalism, comfortably taking initiative and exercising independent judgment to resolve issues. The Sr. Administrative Coordinator will work closely with and report to the Associate Administrator for the Division of General Internal Medicine and Palliative Medicine.


Specific Duties & Responsibilities

  • Arrange and coordinate meetings involving both domestic and international attendees, sometimes via skype, adobe connect, and video and audio-conferencing platforms.
  • Gather and distribute meeting materials.
  • Create agendas and take minutes when needed.
  • Troubleshoot issues related to meetings.
  • Manage and maintain faculty calendars.
  • Arrange travel, both domestic and international.
  • Assist in preparation of presentations, slides, and other publication materials.
  • Arrange and coordinate other special events as needed.
  • Create and submit shopping carts for office supplies and equipment in SAP.
  • Submit on the SAP system for the Travel Assistant, Shopping Cart, and On-Line Payment as requested.
  • Order and track office supplies and equipment.
  • Draft memos, letters, and emails for faculty.
  • Assemble, update, and maintain files of CVs, licenses, training, etc.
  • Assist with preparation of scientific manuscripts, grants, and scientific reviews.
  • Assist with preparation of IRB submissions and renewals.
  • Coordinate and implement office services such as faxing, photocopying, maintaining supplies and equipment.
  • Provides office support to faculty, students, and staff including photocopier and printer issues when they arise.
  • Provide backup to other administrative assistants and coordinators.
  • Other related duties as needed.

  • Must be well-organized, detail oriented, able to multi-task and to prioritize in order to meet deadlines.
  • Willingness to learn new software.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Proficiency in using Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Experience using SAP .
  • Familiar with using Skype, Adobe Connect or other video and audio conference platforms.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing.
