General Description

 

The Sr. Development Coordinator provides high level project support and a broad range of administrative support for an Associate Vice President (AVP) and the Director of Innovation Initiatives and Corporate Relations. This individual interprets and applies operating policies, exercises independent judgment in the resolution of administrative problems, coordinates office operations, and communicates with all levels of internal and external parties such as administrative and academic leaders, important donors, alumni, guests, faculty, administrators, and others.

 

 

Primary Duties and Responsibilities

 

Development Focus (60%)

  • Builds and demonstrates expertise in Development and Alumni Relations’ constituent database, ALADIN, in order to maintain relevant data and generate regular reports.
  • Fields and triages donor requests and inquiries.
  • Helps research donors and prospects and assist in portfolio analysis.
  • Conduct quick research on donors and prospects, and collaborate with the research office to fulfill different types and depths of reporting needs.
  • Collaborates with others to prepare and develop comprehensive briefings in preparation for high level donor visits and meetings by: soliciting inputs from relevant individuals, compiling data from various systems and reports, creating related graphs and tables, and writing and editing copy.
  • Provides support for donor and prospect engagement.  Develops giving statements for trustees and other principal level prospects.  Drafts donor correspondences and assists in developing donor proposals.
  • Develops and produces a variety of presentations and reports using multiple sources of information from multiple sources with general guidance from leaders. Also conducts related research and creates original content for review by senior leaders.
  • Interacts and communicates effectively with senior administrative and academic leadership and their respective staffs, and with high-level donors.
  • Handles sensitive and confidential information with an appropriate level of discretion.

 

Administrative Focus (40%)

  • Screens and triage's all incoming communications (telephone, voicemail, e-mail, paper mail, faxes, etc.) in an efficient and organized manner. Directly handles routine communications and those which do not require elevation to the senior leaders.
  • Handles inquiries when the senior leaders are not readily available by answering them directly or redirecting them to another person. Ensures that timely and appropriate responses are provided.
  • Manages the daily calendars for the senior leaders by scheduling meetings, appointments and travel. Uses judgment to prioritize competing demands for time.  Plans travel itineraries including coordinating transportation and lodging, along with the reimbursement process.
  • Organizes and coordinates large meetings and standing committees led by the senior leaders, to include managing the agenda, taking notes and leading follow-up actions.
  • Drafts both standard and personalized communications on behalf of the senior leaders. This may include office communications, letters, e-mail, and other forms of communication to key academic leaders and external constituents. Regularly proofreads and edits confidential, sensitive information. Seeks approval and signature before distributing when needed.
  • Produces a variety of standard and ad-hoc reports to provide information as requested. Analyzes and compiles appropriate data when needed.
  • Coordinates office operations such as purchasing supplies, copying and distributing information, reconciling travel and expense reporting, assisting with developing and monitoring budgets, and maintaining administrative filing system.
  • Coordinates projects that may include other resources to address opportunities or improve processes within area of responsibility.
  • Performs additional duties as assigned. Also provides back-up support for other senior leaders as needed.

 

 

Qualifications: 

 

  • High school diploma/GED with minimum five years related experience required. Bachelor's degree preferred. Additional education may substitute for years of work experience (JHU Equivalency Formula: 30 undergraduate degree credits/semester hours or 18 graduate degree credits may substitute for one year of experience).
  • The successful incumbent will have excellent word-processing and database management skills; significant PC experience and a thorough working knowledge of Windows, Word and the internet (knowledge of Excel, Access and PowerPoint are preferred); outstanding interpersonal skills; strong organizational skills; ability to manage more than one project simultaneously; excellent writing, editorial and verbal communication skills; ability to work in a dynamic, fast-paced environment.
  • Preferred qualifications: knowledge of and experience with working on entrepreneurial initiatives and/or with startup businesses.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
