Sr. Development Coordinator for Donor Relations

Development and Alumni Relations (DAR) supports Johns Hopkins’ focus on research, teaching and patient care, and its role as a national and global leader in higher education. Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 2-3 days per week. The manager will confirm the team’s core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.


The Krieger School of Arts and Sciences (KSAS) seeks a Senior Development Coordinator for Donor Relations to join our team in achieving our fundraising objectives. The Senior Development Coordinator for Donor Relations is an integral member of the School’s External Affairs team in our effort to secure philanthropic support for the Krieger School to pursue its mission of education, research, and discovery. Our team is dedicated to connecting the passions of our donors to the needs of the school to realize our mission.


The Senior Development Coordinator provides critical strategic leadership and support to the Krieger School of Arts & Sciences, working with the Senior Associate Director of Donor Relations, serving as part of a team committed to ensuring donors are properly acknowledged for their giving and provided reporting that their gifts are being used as they were intended.


The position works to strengthen and advance the relationships the Krieger School of Arts & Sciences has with their principal gift donors and permanent stewardship donors by working to proactively facilitate effective stewardship activities, including acknowledgements, financial reporting and creative stewardship touches.


Key responsibilities: 

Acknowledgments: 

  • Manage and track the acknowledgement process, including VIP letters and IMO/IHO letters to ensure donors receive acknowledgement letters in a timely process. Provides weekly updates to the Senior Associate Director of Donor Relations on the status of all acknowledgement letters.
  • Drafts personalized and timely acknowledgment letters to donors, including principal level prospects, using appropriate templates as guides, for the Dean’s and Associate Dean’s signatures.
  • Leads the annual process of refreshing acknowledgment template letters, utilizing own writing skills, AI and other relevant tools to draft updates and managing the review process with the Senior Associate Director of Donor Relations and team.
  • Serves as liaison with all divisional development offices on gift acknowledgments and with the Office of Stewardship and Donor Engagement (SDE) to ensure that presidential acknowledgments are drafted according to the proper guidelines.
  • Conducts research as needed to inform content for VIP acknowledgements as requested by Associate Director of Special Projects, further streamlining the VIP acknowledgement process to ensure letters are impactful and sent in a timely manner.
  • Reviews current acknowledgement management processes, protocols, and goals to identify potential strengths, weaknesses and opportunities for improvement.

Stewardship: 

  • Creates and designs, in collaboration with the Sr. Associate Director of Donor Relations, stewardship videos for scholarship donors. This includes scheduling student videos and reviewing and editing the videos for proper format and use in the ThankView platform, as well as drafting and editing compilation videos in accordance with feedback from the Sr. Associate Director, Associate Director, and Associate Director of Special Projects. 
  • Creates annual Krieger School Impact Report for full range of KSAS donors in ThankView, working closely with the Associate Director of Special Projects for content, and coordinating with Sr. Associate Director. As appropriate, manages all aspects of and creates ThankView impact videos for partners. Provides critical support in the planning and execution of stewardship events such as professorship dedications with the Associate Director of Donor Relations & Special Projects. 
  • Takes a lead role in the Krieger development office for coordinating the planning and execution of the annual Homewood Schools scholarship student recognition event organized by SDE, including pre-planning details and on-site support.
  • Performs independent research in order to ensure comprehensive content for impact reports, including liaising with faculty and students, utilizing internal/external online resources and navigating the DAR CRM database.
  • Familiarity with the histories of the Krieger School's donors, particularly those that supported endowments which continue to benefit the school and this warrant annual financial reporting. 
  • Provides critical support to the Donor Relations team managing the set-up of mailing (both online and USPS) of all stewardship correspondence and the subsequent data entry into JHAS, including but not limited to scholarships, professorships, and fellowships. 
  • Assists with outreach to departments for stewardship reports, including securing content on beneficiaries, impact stories, and award winners.
  • In close partnership with SDE, proactively tracks faculty changes for the endowed professorships and initiates outreach to faculty and donors to gather biographical information and photos in order to update the professorships website. 
  • Assists with other stewardship-related projects and events as needed.

Administration: 

  • Coordinates and proactively manages tasks for the Sr. Associate Director, Associate Director, Assistant Director and often full Donor Relations team to prepare for upcoming meetings and events, which includes scheduling, preparing documents and agendas, logistics, and disbursement of pertinent information to attendees. 
  • Maintains annual stewardship calendar, which includes proactively completing tasks, tracking deadlines, and prompting the team when various actions are due. 
  • Continually monitors and provides expert triage to the KSAS Donor Relations inbox and uses independent judgement to respond to questions from donors and/or stakeholders in a timely fashion. 
  • Maintains knowledge of best practices with stewardship and donor relations updates by actively engaging in the DRLG, (Donor Relations Liaison Group) and reporting relevant updates to the Krieger Office of External Affairs. 
  • Develop and maintain effective and efficient working knowledge of the JHAS database, including the ability to pull reports and enter stewardship information. 
  • Manage Asana or possible future project management tool utilized by the team. Is the point person for making sure it's kept relevant and up to date. 
  • Other duties as assigned. 


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years related administrative experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Bachelor's degree preferred.
  • One year experience in a Development office preferred.
  • CRM knowledge, preferably SalesForce. 
  • Microsoft Office and moderate to strong Word and Excel proficiency. 
  • Candidate must be proactive and effective when working independently and as part of a team.
  • Strong interpersonal and written communication skills required, including the ability to create original correspondence, such as letters, memos, reports, etc. 
  • Must possess strong organizational skills, de detail-oriented, and be able to take part in more than one project simultaneously while appropriately prioritizing workload. 
  • Ability to work independently, take initiative, problem-solve, and follow through with assignments from start to finish.
  • Must maintain a high degree of professionalism and confidentiality at all times. 
  • Must adapt to and be able to work in a complex, multi-divisional organization and a dynamic, fast-paced environment.
  • Must possess strong critical thinking and problem-solving skills. 
  • Must be self-motivated and able to effectively balance their time both in the office and when working remotely.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, education/training and other qualifications. Education and Experience Equivalency
