Sr. Grants & Contracts Analyst

We are seeking a Sr. Grants & Contracts Analyst to join Research Management Services (RMS). RMS supports the pre- and post-award administration for sponsored funding across multiple departments within the School of Medicine. RMS strives to provide the highest quality of customer service in sponsored research management to our customers including departments, faculty, key stakeholders and central teams including the Office of Research Administration (ORA), Sponsored Projects Shared Services (SPSS) and the School of Medicine Business Office. The Sr. Grants & Contracts Analyst will work alongside faculty and fellow colleagues to support pre-award activities for RMS. The primary goal of this position is to ensure timely, accurate, and efficient proposal preparation for various funding agencies and award types while meeting sponsor deadlines. This position reports to the pre-award Grants and Contracts Manager of RMS.


Position Overview

This position will work alongside a dedicated pre-award submission team to meet with investigators and develop proposals for submission to funding agencies. The position requires reviewing proposal solicitations in detail to ensure all required formatting and documents for the submission are included. Pre-award functions include but may not be limited to: proposal preparation and submission, budget development, working with potential subawardees/subcontractors, preparing justifications of programmatic costs and preparing/maintaining other applicable documents for proposals such as other support pages, biosketches, conflict of interest and regulatory documentation. The Pre-Award function also includes pre-processing of contracts and agreements that range from simple to complex. Pre-Processing includes review of documents to understand their intent, collection of administrative support documentation and in some cases, budget development. This position will operate within a team as well as independently on a wide variety of grants/contracts and clinical research projects ranging from moderate to complex. This position will require great attention to detail and organization while juggling multiple, competing demands and adhering to deadlines. Excellent communication skills and a customer service minded focus are essential skills required to succeed in the position.


Position Scope/Complexity

Will work independently a majority of the time, with support from Principal Investigator (PI) and/or senior management level grants & contract professionals on increasingly more complex grants/contracts. Will provide standard professional administrative level guidance on protocols, regulations and guidelines to PI and other scientific/research professionals within the department. May interact with external research/administrative professionals.

This role functions at an advanced level, with responsibility for a variety of complex level grants/contracts, including those from NIH, NSF, DOD various foundations and pharmaceutical companies. These grants, contracts and clinical trials/fixed fees may involve highly detailed budgets, multiple projects, Cores and sub awards. 


Specific Duties & Responsibilities

  • Partner with departmental faculty and/or budgetary staff and the Office of Research Administration (ORA) toward the planning and development of application submissions to various federal offices, private agencies/foundations and commercial companies.
  • Will work directly with the application’s Principal Investigator, Co-Investigators and administrative staff to ensure effective, accurate and timely proposal development.
  • Understand and utilize institutional policies for pre-award grant process and sponsor guidelines.
  • Ensure that all of the proper information/documentation is uploaded into the designated application portal (ASSIST, Workspace, Grants.gov, FastLane etc).
  • Review all sponsored project proposals for assigned faculty prior to them being forwarded to the Grants & Contracts Manager and ORA for signature. Review involves accuracy, content, adherence to all relevant guidelines.
  • Provide instruction, preparation assistance and support related to grant application procedures to Principal Investigators (PI’s). Provide guidance to the PI in the interpretation and implications of applicable grants terms and conditions.
  • Serve as liaison between research units, central offices and funding agencies.
  • Review budgets and related justification for appropriateness and completeness of content. Ensures that all applicable and indirect costs have been applied. May also provide groundwork for subcontract negotiations.
  • Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, internal protocols, accurate protocol information within grant documents, conflicts of interest, etc.
  • Responsible for tracking grant/contract proposals and other documentation through the signature/approval processes.
  • Facilitate and/or produce specialized sponsored projects reports utilizing institutional or departmental systems (i.e., COEUS, Proposals/Awards/Funding Dashboard, etc.).
  • Manage all assigned grant submissions to ensure timeliness and accuracy.
  • Responsible for the timely submission of JIT’s and RPPR’s.
  • Maintain ongoing updates and communications related to current grants and contracts, this includes regular auditing and reporting to principal investigators and departmental leadership.

  • Ability to make independent judgments and to act on decisions on a daily basis.
  • Ability to work with flexibility on several tasks simultaneously and to meet various concurrent deadlines.


Physical Requirements

  • Sitting in a normal seated position for extended periods of time.
  • Finger dexterity required to manipulate objects with fingers rather than with whole hand(s) or arm(s), for example, using a keyboard.
  • Occasionally lifting, carrying objects weighing 10 lbs. or less.




Minimum Qualifications
  • Bachelor's degree
  • Four years of related experience in sponsored research and/or financialpositions, preferably in an academic or medical setting.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Thorough knowledge and understanding of The Johns Hopkins University accounting system and related fiscal offices preferred.
  • Thorough knowledge of external federal guidelines/procedures for grants and contracts, including NIH, NSF, DOD and NASA.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
