Sr. Grants & Contracts Analyst

General Summary/Purpose:

Research Management Services (RMS) supports the pre and post award administration for sponsored funding across multiple departments within the School of Medicine. RMS strives to provide the highest quality of customer service in sponsored research management to our customers including departments, faculty, key stakeholders and central teams including the Office of Research Administration (ORA), Sponsored Projects Shared Services (SPSS) and the School of Medicine Business Office.


The Sr. Grants & Contracts Analyst works alongside faculty and fellow colleagues to support pre-award activities for Research Management Services (RMS). The primary goal of this position is to ensure timely, accurate, and efficient proposal preparation for various funding agencies and award types while meeting sponsor deadlines. This position reports to the pre-award Grants and Contracts Manager of RMS.


Position Overview

This position will work alongside a dedicated pre-award submission team to meet with investigators and develop proposals for submission to funding agencies. The position requires reviewing proposal solicitations in detail to ensure all required formatting and documents for the submission are included. Pre-award functions include, but may not be limited to: proposal preparation and submission, budget development, working with potential sub awardees/subcontractors, preparing justifications of programmatic costs and preparing/maintaining other applicable documents for proposals such as other support pages, bio sketches, conflict of interest and regulatory documentation. This position will operate within a team as well as independently on a wide variety of grants/contracts and clinical research projects ranging from moderate to complex. This position will require great attention to detail and organization while juggling multiple, competing demands and adhering to deadlines. Excellent communication skills and a customer service minded focus are essential skills required to succeed in the position.


Position Scope/Complexity:

Will work independently a majority of the time, with support from Principal Investigator (PI) and/or senior management level grants & contract professionals on increasingly more complex grants/contracts. Will provide standard professional administrative level guidance on protocols, regulations and guidelines to PI and other scientific/research professionals within the department.  May interact with external research/administrative professionals.


Types of sponsored awards for which the position is responsible: 

This role functions at an advanced level, with responsibility for a variety of complex level grants/contracts, including those from NIH, NSF, DOD various foundations and pharmaceutical companies. These grants, contracts and clinical trials/fixed fees may involve highly detailed budgets, multiple projects, Cores and sub awards. Some of the NIH mechanisms that this position will be working include, but are not limited to: R01, U01, P01, P30, R03, R15, R21, R25, R41 STTR, K08, K12, K23, KL2, K99/R00, F31, F32, T32 etc


Primary Duties and Responsibilities:

  • Partner with departmental faculty and/or budgetary staff and the Office of Research Administration (ORA) toward the planning and development of application submissions to various federal offices, private agencies/foundations and commercial companies.
  • Will work directly with the application’s Principal Investigator, Co-Investigators and administrative staff to ensure effective, accurate and timely proposal development. 
  • Understand and utilize institutional policies for pre-award grant process and sponsor guidelines. 
  • Ensure that all of the proper information/documentation is uploaded into the designated application portal (ASSIST, Workspace, FastLane etc).
  • Review all sponsored project proposals for assigned faculty prior to them being forwarded to the Grants & Contracts Manager and ORA for signature.  This review involves accuracy, content, adherence to all relevant guidelines.
  • Provide instruction, preparation assistance and support related to grant application procedures to Principal Investigators (PI’s).
  • Provide guidance to the PI in the interpretation and implications of applicable grants terms and conditions.
  • Serve as liaison between research units, central offices and funding agencies.
  • Review budgets and related justification for appropriateness and completeness of content. 
  • Ensure that all applicable and indirect costs have been applied. 
  • May also provide groundwork for subcontract negotiations.
  • Ensure compliance in all other areas related to grant and contract management, including sponsoring organization guidelines, internal protocols, accurate protocol information within grant documents, conflicts of interest, etc.
  • Responsible for tracking grant/contract proposals and other documentation through the signature/approval processes. 
  • Facilitate and/or produce specialized sponsored projects reports utilizing institutional or departmental systems (i.e., COEUS, Proposals/Awards/Funding Dashboard, etc.)
  • Manage all assigned grant submissions to ensure timeliness and accuracy.
  • Responsible for the timely submission of JIT’s and RPPR’s.
  • Maintain ongoing updates and communications related to current grants and contracts, this includes regular auditing and reporting to principal investigators and departmental leadership.

Minimum Qualifications (Mandatory):

  • Bachelor’s degree
  • Four years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting
  • Successful completion of the RAT program (13-15 months) is equivalent to two years of relevant experience for this position.  If an employee does not successfully complete the program, no additional experience will be applied.
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula. 
    • JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
