Sr. Grants & Contracts Analyst

General Summary/Purpose

  • Provide fiscal, administrative and project management for a Coordinating Center (CC) for 2 multicenter research networks and other multicenter studies. The CC has about 20 employees and several student workers.


  • The Sr. G&C Analyst will work with faculty and senior staff members to manage administration and finances for ongoing studies and plan for new ones. 
  • The Sr. G&C Analyst will be responsible for tracking the financial management of multiple grants with overlapping staff members, human resources issues at the CC and other administrative duties for multicenter research studies.
  • The Sr. G&C Analyst will work with Department and School administrators to establish, maintain and monitor subcontracts with other universities and vendors involved in the conduct of multicenter studies, primarily randomized clinical trials.
  • The Sr. G&C Analyst will need to interact with representatives of study sponsors and subcontractors regarding the fiscal management of studies and reporting requirements on a regular basis for evaluation of intervention for prevention or treatment of airway disease, e.g., asthma and COPD and eye disease.
  • Coordinate grant submission process which includes reading announcement and detailing all the requirements; working with investigators at JHU and other institutions to develop budgets; working with contractors and other to get costs of needed services and supplies; preparing budgets, requesting and gathering all letters of commitment or price quotes.  
  • The Sr. G&C Analyst is responsible for preparation of the budget justification and overseeing the gathering biosketches and other materials as required per grant instruction.
  • The Sr. G&C Analyst works with directly with Office of Research Administration to submit applications; monitors status on e-Commons and other websites; and prepares budget and progress reports.



Specific Duties & Responsibilities


Staff management/Office management – 25%

  • Manage Center employee’s lifecycles including recruitment, onboarding, performance management, and off-boarding.
  • Develop staff job descriptions for new hires and restructure current job descriptions for upgrading of staff positions as needed.
  • Supervise the performance of 3 to 4 administrative staff, conduct performance reviews, identify professional development opportunities, and establish a matrix organizational structure.
  • Oversee the event planning for study group meetings, site visits and review board meetings.
  • Develop documentation for Standard Operation Procedures as needed.
  • Create and forms and SOPs for smooth office operations.

Fiscal -70%

  • Ensure compliance with sponsor’s requirements and study objectives.
  • Develop budgets and budget justifications for grant applications.
  • Address complex financial management problems, audit questions, contract, and management issues.
  • Oversee grant expenditures/incomes to ensure timely and accurate payments are made.
  • Work with central offices to provide fiscal reports to investigators and sponsors.
  • Maintain accurate records to ensure compliance.
  • Work with vendors, ORA and other to establish contracts and payment schedules, and to ensure all contractual agreements are met.
  • Communicate with vendors and development of price quotes and fulfillment of contractual agreements.
  • Develop and maintain tracking system for pending and active grant proposals, including subcontracts.
  • Maintain a repository of all contract documentation.
  • Identify critical issues that will affect the centers.

  • Perform other duties as requested by the center directors.



Minimum Qualifications


Bachelor’s degree required.

  • Four (4) years of related experience in sponsored research and/or financial positions, preferably in an academic or medical setting.


Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis.  For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *


Preferred Qualifications

Master’s degree preferred; supervisory experience; experience in grant applications

  • Proficiency with Excel, Word, WordPerfect, and Outlook required.
  • Competency with Microsoft Windows and the Internet/World Wide Web required including eRA Commons, CRISP, Federal Grants database, and JHU administrative computing.
  • Experience in the use of software applications, databases, spreadsheets, and/or word processing.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
