General summary/purpose:

The Sr. HR Coordinator serves as an important part of the School of Nursing Human Resources support team.  This role will work in conjunction with the HR Manager, to ensure compliance with university policies and procedure and exercise independent judgment in the resolution of human resource issues. This role regularly interprets and communicates policies and procedures, serves as the primary point of payroll support on a school-wide basis and works to provide employee relations support, as needed, with additional direction provided by the HR Manager and/or Health Sciences HR team.  In addition, this position oversees the SON’s payroll records, database management, coordinating job postings and new hire orientation. Also provides direct support of Faculty, Residents, Fellows, Students and visiting scholars, as requested by the HR Manager.  The Sr. HR Coordinator is responsible for performing duties of a sensitive and confidential nature.

Specific duties & responsibilities:

  • Serves as primary point of contact for employees (faculty, staff, student, post-doc fellows) for all payroll-related matters, including new hire documentation and weekly timesheets for hourly employees.
  • Advises on payroll policies and procedures and works to address all matters in a timely, efficient and accurate manner.
  • Assures that payroll is processed timely and accurately.
  • Maintains system to track faculty and staff payroll information and generate reports to members of school leadership, as requested.
  • Implements system to monitor and resolve payroll issues, including: control salary, salary distribution, supplements, merit increases and termination.  Works to proactively monitor and retrieve overpayments.
  • Runs weekly, monthly, and/or quarterly reports in SAP. Provide summary and report concerns to appropriate leadership.
  • Facilitates annual merit increases and annual performance review process, as well as 90 day and 6 month review activities. Advise supervisors of deadlines pending and ensure they are conducted and processed in a timely manner. Meeting with supervisors as needed for guidance on merit increases and performance improvement planning.
  • Coordinates actions with HR Shared Services and AP Shared Services to meet special needs of the department.
  • Works with members of the Compensation team, the HR Manager and SON managers to evaluate details related to promotions, transfers, reclassifications, salary increases and overtime and then process related transactions in a timely basis.
  • Coordinates logistical details related to SAP Internal Service Requests (ISR) and serves as primary processor of those transactions.
  • Works with SON Managers to manage the logistics of 120-day and annual reviews.  This includes coordinating the distribution, documentation and processing of the reviews and facilitating interactions between HR and the supervisors.
  • Assists in managing employee relations process, grievance processes.
  • Coordinates with Student Financial Services and Homewood Student Services regarding hiring and time tracking Recruitment and Selection: Assists HR Manager with the recruiting, new hire and termination process of all faculty, post-docs fellows and staff.
  • Works with members of the Compensation and Talent Acquisition teams, HR Manager and SON hiring managers to develop and/or obtain job descriptions and related posting documentation for new requisition postings. 
  • Assists with coordinating candidate interviews, complete reference verifications, criminal background checks, and salary verifications.
  • Coordinates JHSON start date check list for new employees, including working space, keys, computer, and orientation packet.
  • Collaborates with the HR Manager to facilitate new hire orientation and onboarding activities. Ensure new hires have smooth transition into their position through introductory period activities and check-ins.
  • Identify and resolve staff/faculty salary overpayment issues
    • Track overpayments/locate errors and causes
    • Prepare overpayment reconciliation and letters
    • Coordinate collection and repayment plan
  • Processes new positions and employee information into SAP system.
  • Coordinates placement of temporary staff as needed.
  • Coordinates orientation schedule for new staff.
  • Ensures organizational charts are continuously updated.
  • Maintains and manages personnel files for all new hires and terminated employees. Schedule exit interview for terminating employees and coordinate retrieval of badge, keys, computer, questions about final paycheck, etc.
  • Digitalizes personnel files as needed.
  • Provides assistance in the visa process for international faculty, fellows, and staff. Family and Medical Leave (FML): Assists HR Manager in the processing of FML. Works with staff member to obtain general information about FML related issue. Compiles documentation in specified timeframe and provide to staff and records department.
  • Tracks and updates FML determinations and changes. Ensures that all FML related time is tracked in the E210 system. Works with HR Manager on FML problems.
  • Serves as primary point of contact for staff and students for time and attendance. Maintains and updates E210 time tracking system. Works with hourly employees to accurately track their time thru the weekly time sheet. Coordinates with HR Manager and SON hiring managers to support the process of tracking staff sick time, vacation, FML, short-term disability, and long-term disability.
  • Participates in employee relations efforts on a school-wide basis. Works with the HR Manager to develop departmental policies and procedures that comply with those of the University. Provides assistance in disciplinary actions and assists in researching issues and gathering sensitive information.
  • Composes, edits, types, and distributes various form letters and correspondence as necessary. Creates proactive templates and guides for supervisors.
  • Completes exit interviews, provide summary reports and suggestions for retention.
  • Performs all related duties, as requested.



Minimum qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or other related field.
  • Three years related experience, preferably in a medical/academic setting with a focus on employment, performance management, recruitment, faculty affairs, visa process, and/or administration.
  • Additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.


Preferred qualifications:

SAP experience preferred.

Working knowledge of federal, state and local laws and regulations in human resources and working knowledge of emerging trends and practices in human resources. Ability to work collaboratively with others both within and outside human resources. Organized and results oriented.

Ability to define problems, collect data, establish facts, and draw valid conclusions. To perform this job successfully, an individual should have basic computer skills. Internet and email software (Outlook); Spreadsheet software (Excel) and Word Processing (Word). Experience with KRONOS, helpful. Highly organized, able to manage multiple and competing priorities, strict adherence to confidentiality and HIPAA policies. Strong communication skills and ability to work with all levels and varying personalities.

This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
