Systems Support Specialist, SEAM Financial Aid Systems & Digital Strategies

The Johns Hopkins University centralized Office of Student Enrollment and Account Management (SEAM), Financial Aid Operations is seeking a Systems Support Specialist, SEAM Financial Aid System & Digital Strategies. Reporting to the Associate Director, Systems and Digital Strategy, this individual will support the daily operations and ongoing process improvement efforts of SEAM-Financial Aid (SEAM-FA), who is responsible for centralized Federal Title IV and institutional financial aid processing functions. The incumbent works to configure, test, monitor and enhance a suite of Financial Aid systems. The candidate is well-versed in the operation and maintenance of POWERFAIDS, Net Partner and other software applications commonly used in the higher education field.


Specific Duties & Responsibilities:

  • Assist in supporting eight instances of POWERFAIDS and assist in the POWERFAIDS CLOUD migration
  • Maintain the daily operations of POWERFAIDS
  • Monitor POWERFAIDS operations and trouble shoot any POWERFAIDS configuration/operational issues
  • Maintain and improve the efficiency of POWERFAIDS processes
  • Coordinate daily POWERFAIDS file imports and exports
  • Manage POWERFAIDS development projects as assigned
  • Support the development and delivery of POWERFAIDS process training to staff
  • Participate in and significantly contribute to the analysis, design and documentation of new POWERFAIDS and other electronically automated processes utilized by SEAM-FA
  • Conduct appropriate testing of POWERFAIDS upgrades, enhancements in addition to new ancillary software applications used in the operations of SEAM-FA
  • Assist in the development of POWERFAIDS custom reports
  • Continue to mature POWERFAIDS knowledge, agility and expertise through College Board training, professional association training opportunities and self-directed study
  • Collaborates with SEAM-FA staff and other SEAM personnel as needed
  • Works with divisional financial aid staff as necessary to understand requirements and opportunities for continuous improvement
  • Assists with parameter roll forward and associated testing
  • Cooperates with Financial Aid Compliance as needed
  • Consult with University Information Systems (UIS), University Data Warehouse (UDW), divisional staff and other stakeholders to troubleshoot configuration and processing issues for POWERFAIDS, OnBase and related systems
  • Monitor daily processing stats and reports to ensure compliance with federal, state, and institutional requirements and monitor systems reports for interface errors
  • Assist with compilation of data related to annual federal, state, and institutional audits/reports
  • Assist with student and other customer service contacts during peak periods and /or absence of other assigned staff
  • Participate in cross-functional working groups and committees
  • Perform other duties as assigned


Minimum Qualifications (Mandatory):

  • Bachelor’s Degree from a regionally accredited college or university and one year related experience including detailed knowledge and understanding of the Title IV student financial aid rules and regulations and associated systems
  • Additional education may substitute for required experience and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula*


JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience.  Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Three or more years of experience with PowerFAIDS
  • Experience with OnBase, Slate and Sharepoint
  • Understanding of and experience with relational databases
  • Proficiency with JIRA and Salesforce SCM
  • Ability to review, write and execute SQL queries
  • NASFAA Certified Financial Aid Administrator


Special Knowledge, Skills & Abilities:

  • Extensive knowledge of the PowerFAIDs financial aid management system, including setup, configuration, and maintenance
  • Comprehensive knowledge of and technical ability to use databases and interfaces associated with the administration of federal, state, and institutional financial aid
  • Experience with automating processes and technology/process improvement and implementation
  • Experience processing federal, state, institutional, and private financial aid
  • Excellent data analysis skills
  • Demonstrated resourcefulness and ability to work independently to problem-solve, recommend solutions, and formulate process improvement
  • Proficient with Microsoft Office and web-based meeting and collaboration tools (e.g. Teams, SharePoint, Zoom, etc.)
  • Exceptional customer service and communication (both oral and written) skills
  • Accuracy and attention to detail in all aspects of the position
  • Demonstrated initiative, judgment, confidentiality, and discretion
  • Strong planning and organizational skills, and ability to manage competing priorities
  • Demonstrated ability to work collaboratively across the organization with a variety of units and divisions

  • Experience with student financial aid federal software including but not limited to FAA Access, EDconnect, COD and NSLDS

  • Ability to work effectively under deadlines and simultaneously manage multiple assignments
