Technology Transfer Specialist


General Summary/Purpose:

This position is responsible for intellectual property support activities within Johns Hopkins Technology Ventures (“JHTV”) Office in the Patent Services Group.  This position directly affects JHU patent activities.  The primary job function of this position is assuring University compliance with reporting obligations to the federal government pursuant to the Bayh-Dole Act or other relevant regulations as well as to a range of nonfederal funding sponsors. This will require review of grants/contracts to identify reporting obligations.  Reporting may include reporting technology invention disclosures, election or waiver of title, reporting of patent prosecution and submitting licenses and utilization reports within required deadlines. Additional job functions may include managing intellectual property matters including provisional patent filings, law firm correspondence, and invention disclosures.


Specific Duties & Responsibilities:

Compliance Reporting

  • Updates the iEdison government reporting system to ensure 100% compliance with Bayh-Dole. Reports separately for those government agencies and non-federal sponsors that do not use the iEdison system.
  • Communicates directly with inventors to gather information for compliance reporting including grant numbers and invention details.
  • Coordinates closely with other JHTV group members to timely and accurately report invention disclosures.
  • Elects or waives title to JHU inventions and patent applications in iEdison in accordance with JHTV procedure.
  • Reports patent applications and issued patent data through iEdison.
  • Ensures accuracy of the Government Support Clause in applications and works with law firm, when necessary, for corrections.
  • Calculates and reports utilization through iEdison in accordance with JHTV procedure. Coordinates closely with other JHTV groups to gather information for utilization requirements.


Information Systems

  • Updates the JHTV information system database (“Inteum”) to assure 100% accuracy.
  • Conducts research using Coeus and NIH RePORTER to confirm grant details.
  • Produces sophisticated reports using Inteum, Microsoft Excel and iEdison for use by JHTV staff and outside parties.
  • Provides training to other staff members.


Patent Correspondence

  • Receives and reviews patent correspondence from outside law firms and routes to appropriate JHTV staff for action when necessary.
  • Identifies documents that require action by an Intellectual Property Manager and tracks the action for completion to meet deadlines.
  • Verifies patent application filing details relating to federal and non-federal sponsor compliance requirements.
  • Saves compliance and patent correspondence to appropriate location on the department shared drive.


Invention Disclosure Processing

  • Provides processing assistance with new inventions submitted to JHTV.
  • Reviews new invention disclosures to assure all necessary information is complete.
  • Corresponds with inventors to verify information and obtains electronic signatures.
  • Inactivates inventions, as requested.
  • Conducts quality control assessments of the invention disclosure database.


Minimum Qualifications (mandatory):

  • Bachelor’s degree and a minimum of two years administrative work experience required.


Preferred Qualifications:

  • Education beyond community college level can be substituted for work experience. 
  • Experience with the iEdison government reporting system as well as working with legal documents, including responsibility for reading, understanding and acting upon these documents is strongly preferred.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
