Assistant Director of Financial Aid/ Senior Financial Aid Counselor

The Office of Financial Aid is seeking a Senior Financial Aid Administrator  who provides support to the office in all facets of aid administration and plays a significant role in communication with students, faculty, and staff. The successful candidate will have a strong foundation in financial aid, a commitment to providing the highest levels of customer service and knowledge of the post-secondary admissions application, financial aid, billing, and registration processes.

 

The Financial Aid Administrator (FAA) supports to the Director of Financial Aid, in providing the operational leadership necessary to effectively administer all functions and services of the Office of Financial Aid (OFA) at the Peabody Institute of the Johns Hopkins University. This position will work closely with the Senior Assistant Director of Financial Aid and the Senior Software Engineer. The position is responsible for understanding federal and state compliance issues to provide financial counseling for parents and students.

 

Specific Duties & Responsibilities:

  • Maintain Handbook, job aids, training materials for OFA, and content on the Peabody Financial Aid Office website.
  • Uses OnBase to process loan action requests, including loan increases, loan reductions, and requests for additional eligibility.
  • Serves as the Divisional Liaison for the university’s SEAM organization and supports walk-ins on campus.
  • Reviews SCM (Salesforce) tickets from SEAM and services students & CMD (call center) agents.
  • Attends campus calls with SEAM and all university Compliance training.
  • Updates & reviews ASANA tasks and close out duties – as assigned.
  • Demonstrates strong ability to manage multiple projects with minimal supervision.
  • Maintain a current comprehensive knowledge of federal and state financial aid regulations.
  • Interact regularly with Department of Education systems, including but not limited to the Common Origination and Disbursement (COD) System and the National Student Loan Database System (NSLDS).
  • Update OnBase Document Imaging system to create an electronic record of various student financial aid related documents.
  • Use the ELM platform to certify and manage private student loans and work with ECSI for PLITT institutional loans.
  • Counsels prospective and returning students and families in all aspects of financial aid in adherence with federal regulations and university policy; availability of aid, application procedures, University policies, federal and State regulations, the process of needs analysis via CSS Profile and necessary documentation.
  • Reviews applications for financial aid; analyzes financial situations and needs; determines appropriate packaging of aid; adjusts packages to meet changes in student eligibility criteria based on federal and state regulations and institutional policies.
  • Oversees administration of the Federal Work-Study program, including monitoring expenditures, development and maintenance of budgets, databases and other record-keeping systems.
  • Manages the financial aid department’s student workers.
  • Determine student eligibility for Federal Title IV aid through needs analysis and within consideration of regulatory compliance.
  • Resolve conflicting information and FAFSA C-flags & verification for selected students.
  • Support Peabody’s recruitment efforts through active participation in the financial aid appeals process; assess student financial needs and make informed recommendations.
  • Serve in place of the Director when necessary and fulfill additional duties as assigned.
  • Oversight of the Maryland State Aid programs, including the use of the MDCAPS system to process student aid rosters, subsequent ISIR transactions and preparation for annual audits.
  • Support the office’s Financial Literacy program through one-on-one student counseling and presentations.
  • Excellent customer service skills with the ability to handle sensitive information from the ADHD working group.
  • Demonstrated ability to interact professionally with students, parents, faculty and staff on a consistent basis.
  • Great attention to detail & Experience managing/stewarding scholarship programs
  • Demonstrated ability to manage a number of complex operations and to problem solve on a daily basis.

 

Minimum Qualifications (Mandatory):

  • Bachelor's Degree required, and at least one year of related experience required.
  • Three years of related experience desired.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

 

* JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

Preferred Qualifications:

  • Five years of relevant financial aid/Title IV experience and experience with PowerFAIDS.
  • Ability to follow-through with policy and procedural implementations.
  • Demonstrated experience in analyzing and recommending significant improvements in departmental operations.
  • Demonstrated ability to establish and meet objectives within limited time frames and under schedule deadlines.
  • Candidates must possess unquestioned personal and professional ethical standards.
  • Highly valued are innovative thinking, technological vision, and ability to work collaboratively.

Starting Salary Range: $45,650 - $62,850 annually (commensurate with experience)

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination.
