Clinic Supervisor

We are seeking a Clinic Supervisor who will be responsible for coordinating the daily clinical operations of the Dermatology Clinic at GSS. This role involves supervising and supporting clinical staff, ensuring the smooth and efficient functioning of all clinic activities, and independently resolving scheduling challenges, customer service concerns, and interdepartmental coordination issues as they arise. The Supervisor provides both clinical and administrative support within a multi-faceted clinical and cosmetic dermatology practice to maintain optimal office operations and strong patient relations. Additional responsibilities include coordinating meetings, assisting with administrative matters, and serving as a liaison among patients, their families, referring physicians, and third-party payers. The Clinic Supervisor also plays a key role in implementing and refining processes that support a patient-centered care model.


Specific Duties and Responsibilities

  • In close partnership with health care team, assures smooth and efficient patient flow and clinical operation.
  • Coordinates a multi-faceted cosmetic and clinical office.
  • Assists patients, referring physicians, and third-party carriers to resolve patient related issues.
  • Serves as resource to clinic staff by mentoring, training, and working with Clinic Manager to lead day-to-day operations.
  • Works with Clinic Manager to organize staff meetings.
  • Takes the lead in improving clinical operations in collaboration with Clinic Manager, Medical Director, and/or Assistant Administrator/Administrator.
  • Researches and prepares specialized reports and budgets.
  • Schedules patients.
  • Rooms patients, sets up procedures, and assists with other areas of clinical patient care process.
  • Relay information to patients regarding preparation for laboratory tests and examinations.
  • Maintains familiarity with various types of medical insurance to explain these plans.
  • Obtains pre-certifications as required by patients' health care insurers or managed care providers.
  • Troubleshoot and use judgment in resolving problems as they arise.
  • Ensure that completed patient visits, procedures, and medications are pre-authorized.
  • Analyze clinic-operating practices and make suggestions creating new systems and revising established procedures.
  • Informs patients of costs of care being provided, and guides them to appropriate resources for further information, guidance, or assistance.
  • Monitor front desk financials such as time-of-service collections, registration issues that prevent a clean claim from being submitted.
  • Supervise the maintenance of physician, resident, and fellow templates in the patient scheduling system.
  • Resolve scheduling conflicts, monitor clinic utilization, and maintain clinic patient flow.
  • Intervene as necessary on issues relating to patient complaints, health care providers concerns, and operational issues; take measures to correct situations or ensure appropriate personnel are involved.
  • Assist staff directly in answering the phones, patient registration, and other clinic operations.
  • Prepare and maintain clinic statistics and reports using database or spreadsheet software; develop reports to track referral/consult patterns, data regarding physician’s availability, appointment waiting periods and un-kept appointments.
  • Promote service excellence to ensure patient, staff and physician satisfaction as outlined in the Service Excellence Standards reference guide.
  • Perform other duties as required.


Supervisory Duties

  • Provides day-to-day oversight of the clinic staff to include but limited to developing work schedules to ensure appropriate staffing levels, time and attendance, contributing to annual performance reviews, performance management to include disciplinary action as need with Clinic Manager collaboration.
  • Acts as a resource and preceptor for Medical Assistants and other clinical staff.
  • Supervise clinical/administrative support staff in the clinic, interpreting and communicating operating polices.
  • Identifies opportunities for performance improvement and provides input for the development of solutions as well as mentorship and guidance.
  • Participates in staff meetings by providing constructive input and facilitating problem-solving.
  • Ensure employee compliance training is up to date.
  • Serve as liaison for the group with the billing office and department administration.
  • Assists Clinic Manager in maintaining and optimizing efficient and effective clinic workflow.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Four years related experience, including previous lead or supervisory experience.
  • Additional education may substitute for required experience and additional related experience may substitute for required education beyond HS Diploma/Graduation Equivalent, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Clinical experience preferred.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.
