Development Coordinator, School of Advanced International Studies

Johns Hopkins University supports a flexible work model that includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 3 days per week. The manager will confirm the team’s core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.


The Development Coordinator for the School of Advanced International Studies (SAIS) DAR plays a vital role in supporting fundraising operations by managing gift processing, acknowledgments, data reporting, and administrative functions. Reporting to the Director of Development, this position provides extensive support to three directors and five gift officers, ensuring seamless operations in a fast-paced environment. Key responsibilities include gift and pledge accounting, portfolio management, donor reporting, calendar coordination, travel arrangements, and event planning. The role requires exceptional organizational skills, attention to detail, and the ability to handle confidential information with professionalism. This position exercises independent judgment in the resolution of administrative problems and performs under pressure with a high degree of accuracy, diplomacy, and confidentiality.


Key responsibilities: 

Gift and Pledge Accounting: 

  • Process gifts and ensure quality controls in gift processing procedures.
  • Work with the SAIS and JHU Development Business Offices, academic focus areas, and others to ensure accurate accounting codes.
  • Collaborate with gift officers, divisional colleagues, and others to draft and send timely acknowledgment and other appropriate donor stewardship materials as needed.
  • Oversee pledge and cash projects, including managing pledge collection process.
  • In partnership with the Director of Development create and review donor gift and pledge agreements and track payments to support cash flow projections. Forward gift agreements to appropriate authorized signers for review and approval.
  • May serve as the first point of contact with donors who wish to initiate tribute and memorial gifts, provide information for obituaries, and work directly with family members and honorees to notify them of gifts received.

Portfolio Management/Reporting:

  • Enter proposals and solicitations and ensure they are connected to the workplan within the CRM (JHAS). When reviewing the weekly gift log, ensure gifts are linked to the respective proposal and update proposal as needed.
  • Enter contact reports and link to workplan and/or proposal to ensure gift officers fundraising efforts are accurately reflected in JHAS.
  • Submitting donor research reports to Advancement Services as needed.
  • Run weekly gifts and pledges report to ensure gifts are deposited into correct accounts and identify any gifts for SAIS. Produce scheduled monthly and ad hoc reports for the Director of Development, including fiscal year progress, mandatory stewardship, and work plan reports.

Calendar/Travel Arrangements: 

  • Maintain conflict-free electronic calendar for the Director of Development, Director of Constituent Engagement, and Director of Corporate and Foundation Relations which may include arranging complicated meetings with faculty, staff, donors, and prospects. This may include reserving rooms, ordering catering, and requesting audio/visual equipment.
  • Proactively manage tasks, prospects, and priorities for the Director of Development, Director of Constituent Engagement, and Director of Corporate and Foundation Relations to properly prepare for upcoming meetings, visits, and events, including making travel arrangements and providing background information on donors/prospects using information generated from JHAS and independent research.
  • Track and submit travel receipts associated with the Executive/Corporate Cards to be submitted in Concur and process personal reimbursements for JHU business expenses.
  • Collaborate with the Director of Development, Director of Constituent Engagement, and Director of Corporate and Foundation Relations to prepare briefings for donor visits and gift officer-driven events using resources such as JHAS and internet-based research.

Office Operations: 

  • Effectively communicate with donors, patients, guests, faculty, department chairs, development staff, administrators, and professional colleagues over the telephone, in writing, and in person.
  • Work independently and manage multiple projects simultaneously. Determine priorities within the SAIS development program and maintain a high level of professionalism, diplomacy, and confidentiality.
  • Coordinate staff meetings and prepare meeting materials and agendas for the DAR office.
  • Order supplies and track invoice payments.
  • Prepare and submit accounts payable and purchasing paperwork.
  • Serve as liaison to university-wide Relationship Management group.
  • On an infrequent basis, the candidate may be asked to work on nights and/or weekends to support office events and other time-sensitive initiatives.
  • Function as a part of the administrative team as needed for larger group projects and assignments.
  • Assist the SAIS DAR team in the planning, implementation, and staffing of events, such as professorship dedications, portrait unveilings, endowed lectureships, ceremonies, and other events. Develop and maintain invitation lists, coordinate mailings, and manage event responses.
  • Other duties as assigned.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years related administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications
  • Excellent interpersonal and oral communication skills and demonstrated effective writing and editorial skills.
  • Ability to work independently and as part of a team, take initiative, be a self-starter, proactive problem solver, and have perseverance, and maintain a high degree of professionalism, diplomacy, and confidentiality.
  • Comfortable working in a complex, multi-department organization and dynamic, fast-paced environment.
  • Experience working with broadly diverse groups of constituents such as patients, donors, prospects, alumni, leadership, department chairs, faculty, administrators, and professional colleagues.
  • Ability to perform well under pressure within time constraints with the highest degree of accuracy and effectiveness.
  • Strong organizational, mathematical, and analytical skills, and ability to prioritize and manage more than one project simultaneously.
  • Strong computer literacy skills and the aptitude to learn new software.
  • Possess excellent word processing and database management skills, significant PC experience with a thorough working knowledge of Windows, Word, Excel, Access, PowerPoint, and the internet. SAP knowledge preferred.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency

If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis.
