Operations Administrator

The Johns Hopkins University Bloomberg Center Facilities team seeks an Operations Administrator to support the department and the Hopkins Bloomberg Center as a whole. Reporting to the Campus Operations Manager, the Senior Administrative Coordinator is responsible for many of the department's administrative functions.


The ideal candidate is a quick learner, independent, responsive, and results-oriented with strong interpersonal skills.


Specific Duties &Responsibilities


Administrative Operations (70%)

  • Serves as the primary point of contact for work order management system (Angus) and departmental email. Triages and responds to requests and follows up as needed. Communicates and/or schedules work or disruptions to office occupants. Updates workspace signs and directories. Creates and posts temporary building signage as needed. Schedules and coordinates departmental meetings and events. Provides input on and assists in drafting and formatting department policies. Drafts and sends out internal and external departmental communications. Tracks building policies and SOP documents. Tracks information on the DC Resource Portal webpage and communicates needed changes as it relates to facilities policies.

Facility Support (20%)

  • Assists with office supply, pantry supply, and general facility supply inventory, purchasing, and stocking.
  • Reports facility and furniture issues and coordinates repairs with outside vendors.
  • Assists faculty and staff to navigate the building; meeting office occupants when needed.
  • Schedules office and furniture moves.
  • Tracks vendor information.


Other Support (10%)

  • Pulls and analyzes reports from 25Live event management system.
  • Provides back up coverage for mail room and loading dock.
  • Assists with event set ups and other event related needs.
  • Completes special projects and other duties as assigned.
  • Assists with building tours as needed.

  • Software knowledge and ability to work with the MS Office Suite, Event management/scheduling software (25Live), ticketing software (Angus), and accounting software (SAP).
  • Excellent proofreading and editing skills.


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Five years progressively responsible administrative experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

  • Excellent interpersonal, oral, and written communication skills.
  • Ability to work in a fast-paced, collaborative environment and respond quickly, creatively, and flexibly.

The referenced base salary range represents the low and high end of Johns Hopkins University’s salary range for this position. Not all candidates will be eligible for the upper end of the salary range. Education and Experience Equivalency
Please refer to the job description above to see which forms of equivalency are permitted for this position. If permitted, equivalencies will follow these guidelines: JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination.
