Recruitment Manager


General Summary/Purpose:

This position creates, designs, implements, and leads all efforts for our new US based recruiting, admissions, and marketing strategy focusing on a new target audience which consists of US based secondary schools with high international enrollments. Managing the admission and enrollment process for all pre-college and visiting students as well as special programs offered during the summer and winter once the website is developed. In addition, this position will manage internal and external relationships: faculty, prospective students, families, current JHU students, university administrators, high school counselors, and alumni. Manages the enrollment services for the Office of Summer and Intersession Programs. Occasional travel, evening, and weekend hours required.


Specific Duties & Responsibilities:

40% - Recruitment Management

  • Design, implement, and execute a new domestic recruitment and outreach strategy that will influence and increase applications and admits from international students that are US based.
  • Efficiently manage the admissions selection process.
  • Create and conduct new webinars and high school presentations to attract new target audiences and independent schools.
  • Enhance successful recruitment and outreach efforts to increase interest from prospective international students, parents and other key influencers in the nation.
  • Participate in other recruiting events to attract and source students as needed.
  • Redesign the admissions process with the new website and integrate into new CRM.
  • Partner with Director of Marketing to design marketing strategy for new target domestic international population.
  • Serve as the primary contact for OSIP programs and/or offices across the university.
  • Manage process of decision letters and appropriate forms needed for registration and residential life.
  • Provide appropriate follow-up communication with prospective students regarding inquiries on course selection, course content, campus and student life, billing, registration, and scholarship opportunities.
  • Serve on admissions committee for the Summer University and Discover Hopkins programs.
  • Represent the university to prospective students at recruiting and job fairs, conferences, and meetings pertaining to pre-college programs.
  • Chair of Interdepartmental Tuition Refund Committee.
  • Design, implement, and execute a new domestic recruitment and outreach strategy that will influence and increase applications and admits.

40% - Enrollment Management

  • Develop and execute a new comprehensive enrollment management strategy for retaining domestic independent private schools.
  • Introduce and train OSIP team on the use of a new CRM.
  • Mange, progressively process, and maintain over 800+ summer applications through the initial application phase to enrollment.
  • Oversee enrollment and monitor registration of all pre- college and visiting undergraduate students in Summer Programs.
  • Work with the Office of International Studies for visas for international students that attend US based independent schools.
  • Increase our presence and develop new recruitment and outreach initiatives across the nation targeting independent schools with a high international student population.
  • Implement new systems with Student Accounts and oversee, process, and mange tuition payments, residential life, application fees, tuition, residential and final enrollment counts, etc.
  • Participate in in-person orientation.
  • Work closely with the Registrar’s Office regarding course registration inquiries.
  • Notify registrants of cancelled courses and counsel them into other courses that may satisfy their interests.
  • Collaborate with designated OSIP Students Accounts staff member regarding billing and payment inquiries.
  • Provide residential life staff with accurate enrollment lists.
  • Compile research data and materials to prepare reports, proposals and summaries.
  • Design analytics from the new CRM to determine student trends.
  • Serve as the point person for CRM implementation.

10% - Course Programming

  • Review class meetings and times to ensure instructors are meeting the required minimum contact hours.
  • Schedule course dates and times based on departmental offerings.
  • Process approximately 150 faculty course proposals for Summer and Intersession courses by communicating with department administrators regarding contact hours, descriptions and approval processes, and enter into ISIS.
  • Report course revisions and updates to the Registrar’s office as needed.
  • Communicate with department administrators regarding required minimum contact hours for instructors, course descriptions, and approval processes for Intersession courses.

5% -  Academic Advising

  • Advise international, visiting, and pre-college students on academic-related issues including course choices, applying to college, and on-campus academic opportunities.
  • When appropriate, counsel students into courses that better fit their individual interests and needs.
  • Provide students with information on courses, undergraduate admissions workshops, admissions contacts, pre-med panel and other special events.
  • Maintain extensive knowledge of academic programs and student services.


5% - Financial Administration

  • Create and manage domestic recruiting program budget.
  • Manage financial aid process working with the designated individual from the Financial Aid office.
  • Manage and notify financial aid applicants of their status and mail decision letters and awards.

Minimum Qualifications (Mandatory):

  • Bachelor's degree.
  • One year related experience.
  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.


Preferred Qualifications:

  • Bachelor's degree or Master’s degree in business, education, communications or related field  strongly preferred. 
  • Three years of student services and higher education experience required, preferably in an admissions or registrar’s office. Knowledge of CRMs and other supportive databases.


Special Knowledge, Skills, and Abilities:

  • Ability to design and conceptualize new programs for domestic recruiting.
  • Ability to create a new project plan for incorporating recruiting strategies.
  • Experience in effective public speaking and presenting to small and large audiences including non- native English speakers.
  • Knowledge of international visas.
  • The ability to communicate effectively with prospective students, parents, secondary school counselors, faculty and other university partners as well as the ability to represent Johns Hopkins University to the public.
  • Introduce and train OSIP team on the use of a new CRM.
  • Knowledge about a variety of countries and cultures including familiarity with international political, social and cultural issues as they pertain to international education.
  • Produce deliverables within a diverse, fast paced environment, collaborate effectively across global teams and juggle multiple projects and initiatives simultaneously.
  • Flexibility in working with multiple demands, schedules, work styles, and differing program needs.
  • Ability to prioritize various tasks and assignments.
  • Requires computer and database literacy and proficiency in MS Office (Word, Excel, and PowerPoint for digital presentations).
  • Knowledge of CRMs.
  • Ability to become proficient in University admissions and registration systems such as SIS.
  • Ability to become proficient in SAP.
  • Strong organizational skills.
  • Sharp record keeping skills with attention to detail.
  • Excellent oral, written and interpersonal communication skills.
  • Knowledge of FERPA privacy regulations and the ability to handle confidential information.
  • Ability to work independently with minimal supervision.

Supervisory Responsibility:

  • TBD.  Position may have supervisory duties over 1 full-time staff or several student positions.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.


The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
